INEX practical guide

A calmer way to organize property maintenance.

For property managers, HOAs, and commercial owners, a simple maintenance system can make ongoing work easier to see, prioritize, coordinate, and review.

This is general planning guidance—not a promise of coverage, pricing, availability, or a substitute for property-specific advice.

The working checklist

Keep the system simple enough to use every week.

The exact tools can vary. What matters is that the people responsible for the property can see what is due, what needs attention first, and what happened afterward.

1
Build a recurring rhythm

List the property systems and spaces that need regular attention, then assign a review cadence to each one. Use a calendar or shared task list so seasonal checks and routine upkeep do not depend on memory.

2
Prioritize requests clearly

Sort new requests by safety, active damage, impact on residents or operations, and urgency. Record what makes an item time-sensitive so the next person can understand the order without starting over.

3
Record the property context

Keep the address or property name, exact location, access notes, photos when useful, and a plain-language description with each request. Good context reduces avoidable back-and-forth.

4
Coordinate the work

Give the responsible people one shared view of the request, access plan, dependencies, and current status. Confirm who is handling the next step and capture changes as the work progresses.

5
Review completion

Before closing an item, check that the reported issue was addressed, note any follow-up needed, and keep the completion record with the property history. A short review helps recurring problems become visible.

Choose the next step

Turn the checklist into a conversation about your property.

When you are ready, start with the path that matches the work in front of you.

Plan ongoing care

Review the public maintenance-plan information and request details for your property, association, or commercial space.

Report a repair

Share the property and repair details with INEX for review and follow-up. A request is not an appointment.
